Terms and conditions for research

uea(su) Research Terms and Conditions

For paper/online surveys:

We assure you that the confidentiality of your response is very important to us and your anonymity is guaranteed in the reporting of any surveys and in any related publications. However, if your response leads us to believe that you pose harm to yourself or others, we have a legal obligation to refer you to, or contact the relevant services on your behalf (such as the UEA Student Support Services). We would seek to discuss this with you before taking action.

A limited number of SU staff (those with full rights administering our website and directly involved with any surveys and their analysis) will be able to access the responses and will be involved in the analysis of the survey. The exact number will be displayed at the start of the survey. Your individual responses will be held securely online and will remain confidential. We will retain your data only for the duration of the research, analysis and any follow-on marketing. The data collected may be used in any subsequent research reports, presentations, and publications. Quotations from individuals may be used in the reporting process, however any quotes used will not be identifiable as these will be anonymised. We may use your university username, where applicable, to match your feedback to any information currently held on our website in order to better understand your views. This will only be done if you are a current student at UEA, who is registered on our website. All data will be processed in accordance with our existing agreement with you, based on the options you chose when registering on our website, where applicable, and consistent with the principles of the General Data Protection Regulation (May, 2018).

Answers to all questions, as well as your overall participation in any survey, are provided on a voluntary basis and you can edit or withdraw your information after submission whilst the survey remains open, without any affect on your studies, by emailing Yasmine Haggar, Student Engagement Coordinator (Research & Data) at [email protected]

Once the survey in question closes, we will be unable to amend or remove your submission. Survey close dates will be clearly displayed at the start and end of the survey.

Additional contacts for further information about the research you are taking part in, as well as for complaints will always be clearly displayed at the start and end of our surveys.

We are not aware of any unmitigated risks associated with our research. If there are unmitigated risks, these will always be made clear to you on the first page of our surveys.

For focus groups or interviews:

Audio recordings will be taken of all interviews and focus groups, unless otherwise stated, to ensure accuracy of reporting. The confidentiality of your responses and your anonymity is guaranteed in the reporting of all focus groups or interviews, and in any related publications. Most focus groups or interviews will not cover sensitive topics; if sensitive topics may be discussed, this will always be made clear in information sheets circulated before the focus group or interview, and when participants arrive at the focus group or interview.

When participating in research, if your response leads us to believe that you pose harm to yourself or others, we have a legal obligation to refer you to, or contact the relevant services on your behalf (such as the UEA Student Support Services). The recordings will be trasncribed anonymously, with only a very limited number of SU staff  able to access the audio recordings and transcripts from the focus group or interview or be involved in the analysis of the discussion. The exact number will be stated in the information circulated to you when signing up for the research. We will retain the recordings and transcripts only for the duration of the research, analysis and any follow-on marketing.

The data collected may be used in any subsequent research reports, presentations, publications and marketing. Although quotations from individuals may be used in the reporting process, any quotes used will not be identifiable as the data from the group is anonymised. All data will be processed in accordance with the principles of the General Data Protection Regulation (May, 2018).

Answers to all questions, as well as your overall participation in the focus group are provided on a voluntary basis and you can choose to leave the focus group at any time without any affect on your studies. Please note, that if you do decide to leave the focus group, we will be unable to edit or remove your responses from any recordings. We are not aware of any unmitigated risks associated with our research, if we are this will be clearly stated to participants.

Contacts for further information about the research you are taking part in, as well as for complaints will always be clearly communicated to you when you sign up for a focus group or interview, as well as when you arrive at the session.
